If your business requires travel to be approved before it is finalised and you are a nominated Approver, you will be required to authorise or reject bookings.
Where you have been nominated as the Authoriser (also referred to as Approver) you will be required to approve the booking in order for the ticket to be issued. Your company travel policy will determine if, as the nominated Authoriser for a booking, you receive an email requesting approval.
The option to approve / decline a booking will only displayed where you have the required permissions and you will only be permitted to approve bookings for Travellers for which you have access to.
Note
To view a list of bookings you are required to approve, use the filter Requiring my approval in the Booking list.
How to Approve/Decline a Booking?
To approve/ decline a booking ...
- Retrieve your booking
- Click MANAGE and select Approve/decline trip from the drop-down menu,
The Manage trip approval dialog is displayed.
- Review the booking details and select the Approve trip or Decline trip radio button.
Note
If you select the Decline trip radio button, it is mandatory to provide a reason for declining the trip.
- Click Submit.
The booking status is immediately updated and notification emails are sent.Important NoteIf you choose to Discard without approving or decline the trip, take particular note of the date for which the booking must be approved by.
The booking will auto-cancel if not approved by the approval date.
