When creating an itinerary on the Setup page, it is important to note that there may be instances where your company travel policy does not align with the specifics of the itinerary you have created. In such cases, you will be presented with the opportunity to forward the details of your itinerary to your Travel Management Company, which is commonly known as your 'Travel Expert'. This process effectively addresses any discrepancies between your travel plans and company policies. Based on the itinerary details sent, your Travel Expert can book the travel on your behalf. This is referred to as an Assisted Request (Custom Booking).
If your travel plans require special assistance, it's important to contact your Travel Expert for help with your booking to ensure that all your specific needs are met effectively. To facilitate this process, you can utilise the Send to Travel Expert feature, which allows you to create a Custom Booking tailored to your requirements.
It is important to note that while the Custom Booking feature does not provide options for selecting specific details such as the airline, flight number, class of service, hotel accommodations, room type, the number of rooms needed, car rental company, or vehicle type, you are still able to communicate these preferences. You can include all relevant information in the Message to Travel Expert field. This way, you can convey your specific requests and ensure that your Travel Expert has all the necessary details to assist you in crafting the perfect itinerary for your needs.
How to send an Assisted Request?
The steps below assume the itinerary created is not supported by your Company Travel Policy.
- Start building your itinerary.
- A message is displayed upon completing the itinerary details.
- Click the SEND TO TRAVEL EXPERT button to send the itinerary details to your Travel Expert.
- Complete the SEND TO TRAVEL EXPERT form.
Tip
The fields displayed in the form will be based on your Company Travel Policy and therefore will differ from what is displayed in the example above.
NoteThe maximum allowable number of characters that can be entered in the 'Message to Travel Expert' field is set at 500 characters.
- Click Send.
- A SUCCESS message will be displayed, and you will be allocated a Booking ID.
- Click OK.
