How to select and add a traveller to a booking?
When you create a booking for yourself, your Traveller profile will automatically be selected for the booking, and you can continue to create your itinerary.
If your profile is missing mandatory information, a warning will be displayed.
You will be required to update your profile with the missing information before you can make a booking. For more information on how to update your profile refer to Managing Profiles.
If you have someone accompanying you on your travel and they do not have a Traveller Profile within your company i.e. they are a Guest Traveller, refer to add a Guest Traveller.
If the number of employees and VIPs travelling on the same flight exceeds the configured traveller threshold.
If the Maximum Passenger validations occur in conjunction with the Assisted Booking validation, both messages are displayed so you are aware the itinerary you have selected will require special assistance even after the booking has been split into separate bookings across different flights. However, the Assisted Booking message is displayed as an error message rather than a blue info message. The Send to Travel Expert button is also suppressed so you are not encouraged to send the booking to the travel expert in its current state.
To select a traveller...
- On the Setup page, select a traveller from the list of travellers displayed.
If the Traveller you have selected, does not have all of the mandatory fields completed in the profile, a warning will be displayed.
The profile will need to be updated with the missing information before the Traveller can be selected for the booking. For more information refer to Managing Profiles.
TipIf the required Traveller is not displayed, enter a traveller name or email address in the Who's travelling field to search for the Traveller. Select a traveller from the displayed matching profiles. Refer to Search for a Traveller for details.
Refer to add a Guest Traveller to add a Traveller who does not have a Traveller Profile within your company.
If a Traveller Profile has been deactivated, it will not be available to select.
- Click the Apply button.
Tip
If there is a long list of Traveller Profiles to select from, you will need to scroll down the page to find the Apply button.
The selected Traveller(s) are now linked to the booking.
TipTo add travellers to the same booking, click the Add icon.
To view the profile of a traveller, click on their profile avatar.The booking is now ready to build the itinerary.
