Hotel Overview
Search Criteria
The Hotel Header displays the search criteria as entered on the Setup page unless the search city is mapped to a main city as configured within the Global Settings. (i.e. La Guardia (LGA) in New York is mapped to "New York" as the main city).
When you select an overnight flight and the flight arrival date is later than the specified hotel check-in date, a warning message is displayed informing you that your accommodation check-in date and flight arrival date are not aligned,

You can choose to ignore the warning and proceed with your booking, OR

Click the YES, CHANGE THE DATE link to perform a new search that will align your hotel check-in date with your flight arrival date
Views
The first booking you make will default to the Suggested view, which will display the Shortlist of hotels. The different views are displayed as chips. These are highlighted on selection and include a count of available search results based on your search criteria on the Setup page,
You can select an alternative view. Zeno will remember the view you last selected and will default to this for your next booking.
Preferred vs Non Preferred hotels
Your company travel policy will determine the display of preferred and non preferred hotels based on one of the following...
- Your company policy only has preferred hotels, so non preferred hotels will not be displayed.
- Your company policy is set to include preferred and non preferred providers in a single search, the short-list will include both preferred and non preferred hotel providers; OR
- Your company policy is not set to include preferred and non preferred providers in a single search, the short-list will only display preferred hotel providers. Unless, there are no preferred hotel providers available, in which case non preferred hotels can be accessed as follows...
- Click on the Preferred only drop-down menu.
- Select Preferred and Non Preferred.
- Select Search.
A non preferred hotel can be identified by the icon.
Zeno will search for hotels within the specified radius, so if no hotels are returned - preferred or non preferred - try searching within a larger radius.
Number of Travellers and Rooms
The number of travellers and rooms can be identified.
Unavailable Hotels
Unavailable hotels are those where all rooms are fully booked (SOLD OUT) or those that cannot be booked due to specific company policies. By default, Zeno does not show unavailable hotels for Suggested, List, and Map views unless the company policy has been configured to display Sold Out and Restricted Premier preferred hotels, these will then be displayed to the user.
A notification banner will be presented to you, indicating that certain hotels might not be visible on the list. This banner is displayed even when Sold-Out or Restricted Premier Preferred hotels are indeed shown. However, if you wish to view these hotels, regardless of their rank or your preferences, you have the option to do so. Simply click on the VIEW ALL HOTELS button featured within the banner.
Clicking the VIEW ALL HOTELS button will automatically change the hotel filter to show all unavailable hotels and a green informative banner will be displayed informing you that all unavailable hotels are now displayed in the search results. When you click the VIEW ALL HOTELS button in the blue banner, they will be directed to the list view unless they are already there.
Recommended Hotel
Zeno will recommend a hotel based on a combination of company travel policy and traveller preference.
Hotel Shortlist
The purpose of the Shortlist is to provide a condensed list of available hotels to make your selection process quicker, so you are not scrolling through the full list of hotels. The full list of available hotels is always still available through the List View.
The Shortlist is made up of the recommended hotel and a maximum of an additional 8 hotels.
The hotel details displayed are based on the selected hotel from the Shortlist (identified with the blue ribbon) or a selected hotel from the List View.
Premier Preferred Hotels
Premier Preferred Hotels, also referred to as Corporate Preferred can be identified in the Suggested view with the green corner ribbon.
Potential Savings
Potential Savings information is displayed directly below the shortlist.
The Potential Savings highlights the Lowest available room rate for the hotels returned.
To select the hotel the Potential Savings refers to, click the Potential Savings message link.
The lowest room rate can easily be identified by the rate being displayed in green text.
Summary Hotel Information
By default, information about the selected hotel is displayed in a summary.
Health and Hygiene Information
Hotels have always taken room cleaning seriously, but the pandemic crisis has accentuated a need to go above and beyond to ensure traveller wellbeing. To view health and hygiene measures taken by a property, hover over the Health and Hygiene icon .
To view enhanced hotel safety data, expand the Health and hygiene measures panel to view information on hygiene standards, superior cleaning products and social distancing practices.
Detailed Hotel Information
The Detailed Hotel Information area provides access to hotel photos, hotel policies, location information, hotel facilities and any review details.
Traveller vs Travel Arranger
By default, the detailed hotel information will always be expanded/displayed for Travellers.
For Travel Arrangers, Hotel Details Information will be collapsed (unless you are logging into Zeno for the first time or making a booking for yourself). You will need to expand the Hotel Summary card by clicking anywhere in the Hotel Summary row to view the information,
- When a travel arranger logs into Zeno for the first time, the Hotel Details Information panel will be expanded letting them know that Zeno has rich content information. On subsequent visits, the Hotel Details Information panel will be collapsed.
- When a travel arranger is creating a booking for another traveller, the Hotel Details Information panel will be in a collapsed state (unless the travel arranger is logging into Zeno for the first time).
- When a travel arranger is creating a booking for themselves, Zeno considers the travel arranger as a traveller and the Hotel Details Information panel will always be expanded.

HRS AU’s (ex-Lido) Clean & Safe protocol
Zeno visually identifies properties affiliated with HRS AU’s (ex-Lido) Clean & Safe protocol. In addition to the Health and hygiene measures panel on the recommended itinerary page, status information for each Clean & Safe property is displayed under Property Details providing ease of mind for the traveller and helping corporations fulfil their duty of care requirements.Clean & Safe Protocol is a global hygiene and health-tiered protocol specialising in corporate lodging categories of Transient, Groups and MICE, based on guidelines from the World Health Organisation (WHO), Centres for Disease Control and Prevention (CDC), World Travel and Tourism Council, and Research Institute for Exhibition and Live- Communication (R.I.F.E.L).

The Hotel Network (THN)’s COVID Safe protocol
Zeno visually identifies properties affiliated with The Hotel Network (THN)’s COVID Safe protocol. In addition to the Health and hygiene measures panel on the recommended itinerary page, status information for each Clean & Safe property is displayed under Property Details providing ease of mind for the traveller and helping corporations fulfil their duty of care requirements.
THN supply team is working with accommodation providers to ensure they understand and have access to government information on the steps required to become COVID Safe. Assistance is provided, when needed, in obtaining information on COVID-19 Safety Plans and recommending they register as a COVID Safe business.
Room Rates
By default, the lowest rate for the hotel is selected and displayed beneath the hotel summary row. Click the Show more options link to view additional room rates for the hotel.
To be able to book discounted prices and take advantage of other membership benefits, travellers should have their hotel membership information stored in their Zeno profile (or add one at the time of booking) as membership details are mandatory for booking such rates.
Chains/properties do not honour membership benefits for bookings made through aggregator channels such as Booking.com, and Expedia nor do they make member-only rates available to the aggregators.
Room Amenities
You can view iconography for the following most popular and relevant room amenities for the business traveller.
- Free Wifi
- Breakfast included
- Room size
Once room rates are displayed, the traveller/travel arranger will be able to see icons for the most relevant room amenities with ease, without the need to scroll through the detailed facilities list.
There are three states to the room amenities icons...
- Room amenity available/included in the room rate - the icon will be displayed in dark font colour.
- Room amenity not available/not included in the room rate - the icon will be displayed in a grey font colour with a strike-through.
- Room amenity unknown - no icon is displayed.
- The room size displayed will respect the shopper’s locale and the room size will be shown in m² or ft² depending upon which system of measurement (Imperial or Metric) is used within your location.
- The iconography for the most popular and relevant room amenities will be displayed for Booking.com content only.
Room Rate Rules
Click the Rate rules link to view the Rate rules dialog for the selected room rate.
Rate Details
Click the Rate details link to view the hotel tax breakdown if available for the selected room rate.
You will be able to see a detailed breakdown of room taxes that separate taxes from the standard hotel rate.
Discounted Accommodation Deals and Room Rates
Zeno visually promotes accommodation deals and discounts.
The scope of the initial offering is limited to Booking.com Genius rates. Genius is Booking.com’s loyalty programme where travellers get 10% off select properties worldwide.
Dynamic Room Rates
Where different room rates apply for the duration of the stay, the individual nightly rates can be viewed by selecting the AVG per room, per night link.
Clicking the AVG per room, per night link will display a calendar with the rates for each night.
Out of Policy Warning
On the Recommended Itinerary page, when you select a hotel and if the total cost exceeds the trip budget amounts set by your organisation, a warning message is displayed at the bottom of the page.
You can either edit your selection or continue to Extras or Express Checkout to continue with your booking. If you proceed with your booking, this will break company policy and you will need to provide reason(s) on the Confirm page before the booking can be completed.
Filters and Sort Options
Hotel Filters
The filters for hotels are accessed from the List or Map view.
The filters can be used to further refine the hotels displayed to help you find the perfect place to stay.
When the Free Cancellation filter is selected, a list of all properties that offer room rates with free cancellation will be displayed,
When the Property rating filter is selected, a list of ratings is displayed,
Select the specific rating/s to filter your search results. The hotels will display accordingly.
When the Price filter is selected, a list of price ranges is displayed.
Select the specific checkbox(s) to filter your search results based on your travel budget. The hotels will display accordingly.
The More filters option includes an extensive list of other filters that enable you to narrow your search results.
The following filter options are included under More filters…
- Breakfast included
- Free wifi
- Only show available properties
- Chains
- Providers
A badge is displayed next to the More filters chip so travellers/travel arrangers can see the number of applied filters when viewing and selecting a property.
No badge is displayed next to the More filter when the Only show available properties toggle is enabled (default setting).
If a Hotel is not displayed, it could be because it is unavailable i.e. Sold Out (Sold Out or the Corporate Policy has restricted the rates). By default, unavailable hotels are not displayed, however, these can be displayed by using the Availability filter.
Switch the Only show available properties switch OFF (disable),
Click APPLY. The list of hotels will automatically be refreshed to display the unavailable hotels.
In Map view...
For hotels that are sold out, the map pin will display Sold out. | |
For hotels that are unavailable because of policy configuration, the map pin will display Restricted. |
When the Chains filter is selected, a list of all hotel chains is displayed and by default, ALL chains are selected.
There is the option to...
- Filter hotels by Master Chain as well as the (child) chain. The Master chains are identified by having ‘(All chains’) next to the description. When a master chain is selected, the results displayed will be properties for all hotel chains that are linked to that master chain. This is helpful to ensure hotel loyalty programs are recognised when booking a hotel linked to a master chain.
- Set the Select all chains toggle to OFF, select checkboxes for specific chains/s, and then click APPLY. The hotels will display accordingly; OR
- Set Select all chains toggle to ON, clear checkboxes for specific chains/s to be excluded, and then click APPLY. The hotels will display accordingly.
When the Providers filter is selected, a list of providers is displayed.
Select checkboxes for specific provider/s. The hotels will display accordingly.
Enter a name in the Refine by property name field to find a specific property from the list.
View Rates for a Specific Hotel
The filter can be used to view rates for a specific hotel as follows...
- Start typing in the Hotel Name filter.
- Select the required hotel from the matching results.
The hotel is displayed with available rates.
- To return to the List View select CHANGE SELECTION.
Sort Order
You can change the order of the hotels that are displayed by selecting the Sort By option.
Regardless of the sort order selected, by default, the recommended property is always shown at the top of the list view. However, when filters are applied, ONLY if a recommended property meets selected criteria (based on a combination of company travel policy, and traveller preference) the recommended properties will appear in the list.
List View
To view hotels in a List View, select the List icon at the top of the hotel card.
The first twenty hotels, based on the search criteria entered on the Setup page will be displayed.
Select the SHOW ROOMS button next to a property to view available room options.
- Click the SELECT button for a room they want to book.
- Click the VIEW ALL ROOMS link to view more room options for the property.
- Click the HIDE ROOMS button to close the available room options for the property.
Expand the Show more options to display additional hotels as required.
Upon selecting a hotel, the lowest room rate for the hotel will be selected by default. Click here for more information about Room Rates.
To return to the List view to select an alternative hotel, click BACK.
Preferred / Non Preferred Hotels

Lowest Rate
The lowest rate can easily be identified as it will be displayed in green text.
Hotel Map View
To view hotels in a Map View, click the Map icon at the top of the hotel card.
The Map View is displayed.

When you search for hotels using a specific address, a map pin is placed on the map. Hover over the pin to view the address.

Navigating the Map View
Hover over a hotel in the left list and this will be plotted on the map,
Hover over a pin on the map to find the hotel the pin represents.
To view rates for a hotel, either click on the hotel from the left list OR click on the pin that represents the hotel on the map.
Select a Rate from the Map View
Upon selecting a rate from the Map view you will be returned to the itinerary. The Hotel card will be in a summary state.
Note
To return to a more detailed view or change the selected rate, click the CHANGE SELECTION link.
Remove a Hotel from the Itinerary
To remove a hotel from the itinerary, select the Remove icon in the header.
To reinstate the removed hotel, select the Add button.
Hotel Membership
Where the traveller has hotel membership details stored in their profile Zeno will display the hotel membership based on the selected hotel,
Some government organisations do not allow their travellers to collect personal membership points for corporate bookings; hence the Hotel membership section is not displayed for these travellers.

If a traveller does not have a membership for the selected hotel, no membership details will be displayed.
Click the Expand icon and click the ADD MEMBERSHIP link to add hotel membership details.
The list of hotel memberships is displayed in the Hotel membership drop-down list will only apply to the selected hotel and its associated membership programs.
If membership already exists, you can choose which membership program to apply to the booking. Select the radio button,
Upon saving, the hotel membership details will be saved back to the Traveller Profile.
Select OK
The OK button for each card displayed for the itinerary is OPTIONAL to select. Upon selecting OK the hotel card will be displayed in a summary state and the corresponding circular icon on the itinerary summary will display a tick to indicate the sector is complete.
To reinstate the hotel card back to the detailed state, click on the CHANGE SELECTION link.
