The purpose of adding Special Request details to a booking is to advise suppliers of any special requirements or specific instructions.
An example of this is where a TMC has chargeback facilities with a supplier, and the chargeback facilities can vary per booking, the chargeback details can be captured and advised to the supplier through the booking process.
Special Request details can be added to a booking to advise Transfer Suppliers of any special instructions required for pick up and/or drop off.
Whether the Traveller / Travel Arranger is required to enter special request details for car and hotel is defined in the Corporate Profile. For more information refer to Activate Land Special Requests.
Where a special request or additional information is classed as mandatory, this will be captured in the Corporate Compliance checklist. For more information refer to the Corporate Compliance checklist.
- The icon indicates mandatory details are still outstanding.
- The icon indicates details for Special Requests are optional. An Optional text is included in the panel to indicate this.
How to add a Special Request for a Rental Car?

Whether the option to add Special Requests is selecting from a pre-defined list or entering free format text is defined in the Corporate Profile.
To add Special Request details...
- Expand the Special requests row.
- Expand the Rental car details panel or click the ADD DETAILS link, enter your special request and select Save.
Note
- There is a 46-character limit when entering a special request for a rental car.
- There is a 24-character limit when entering a special request for Car Supplier Data for Rental Cars. The Car Supplier Data option is only displayed if the Corporate option ‘Rental Car BR’ is activated.
- Only alphanumeric characters are allowed and special characters are not supported.

- Expand the Hotel details panel or click the ADD DETAILS link, enter your special request and select Save.

To add transfer instructions...
- Expand the Special requests row.
- Expand the Transfer instructions panel or click the ADD DETAILS link, verify the Transfer contact phone number, enter any special instructions and click Save.
